Payments

Money that has actually arrived, each one tied to the invoice it settles.

When you would use this: to see what has been paid, by whom, and how — or to reverse a payment recorded in error.

Recording a payment: done from the invoice itself, not from this screen — open the invoice and record what came in, with an amount, a mode (see "Payment modes"), a reference and a date. To pay off several invoices for the same customer in one go, use Batch payment from the Invoices screen instead (see "Invoices").

Reversing one: nothing is ever deleted. A reversal appears as its own row, for a negative amount, linked back to the payment it undoes — both the original and the reversal stay on the record, each labelled as what it is.

What each column means: Mode and Reference are exactly what was typed when the payment was recorded — free text, not a fixed choice, so they can say whatever your bank statement says. Amount shown in red is a reversal.

A narrower view: a role with only its own payments sees its own rows, without the firm-wide totals and charts at the top of the list — the same rule as invoices.

When it refuses: reversing needs the same permission recording one does; if you can see a payment but not reverse it, ask an Owner or Admin.
