Proposals

The document that wins the work — sent to a lead before they are a customer, or to an existing customer for something new. Where an estimate prices a specific job, a proposal is closer to a pitch: it can be revised and re-sent as the conversation moves.

When you would use this: pitching new work, especially where the details may change before somebody says yes.

Statuses: Draft, Sent, Accepted, Declined, Expired (worked out from its own expiry date, the same way an estimate's is — never something you set by hand), and Revised, once you have raised a newer version of it.

Sending: freezes the document and emails the recipient a personal link; "New link" issues a fresh one if the old one needs replacing.

Revising: only offered once a proposal has been sent, has expired, or was declined — not from a draft (just edit it) and not once it is accepted (a won proposal is not revised; a new sale gets a new document). Revising creates a new draft with its own number and marks the old one revised, and its old link stops working.

Duplicating: starts a fresh draft with the same content, its own new number.

Deleting: only offered on a draft; its number is never reused.

What happens next: "Opened" — whether the recipient has actually looked at it — is shown separately from status, so a proposal that has been viewed but not yet decided still reads as Sent, not as something new.

When it refuses: no Proposals item in your menu means quoting is not switched on for your firm, or you lack the permission — ask an Owner or Admin.
