Surveys
Ask customers or staff a short set of questions, and keep the answers filed with the rest of the record.
When you would use this: a quarterly customer check-in, a staff pulse survey, anything you want a real response rate on rather than a stray email thread.
Two views: List, every survey with its audience, question count, participants and when it was created; and Insights, a chart of responses for the top surveys by how many came back.
State, worked out from three dates, never set by hand: Draft, before it has an opening date; Scheduled, opening date in the future; Open, accepting answers right now; Closed, either past its own closing date or closed by hand. A manual close beats everything, even a future opening date.
Building one: save the survey's own fields first — title, who it goes to (clients or staff), and the email that carries the link, which must contain the survey-link placeholder or nobody receiving it can ever answer it. Questions are added once it is saved, each one short text, long text, single choice, multiple choice, a rating (5 or 10-point scale) or yes/no; choice questions need at least two choices and a rating question needs its scale chosen.
Sending: writes one invite per recipient and mails nobody straight away — a background runner drains the queue afterwards. Sending refuses if the survey is closed, the email has no message, the link placeholder is missing, or there are no questions yet. Sending again after adding more recipients reaches only the people not already invited — nobody is invited twice.
Once it has an answer, its questions are fixed — you can still close it, but not add, remove or reword a question and risk a response that no longer matches what was actually asked.
Results: completed, started and invited counts with the percentage beside them, a response chart over time, and a CSV export of the raw results.
A narrower view: none for reading the list; sending, closing and editing questions need the further permission to manage surveys.
When it refuses: "Surveys are not available to your role" means you lack the plain reporting permission — ask an Owner or Admin. Nothing here at all means your firm has not switched surveys on.
